It's that time again...
Biannual Chapter Officer Elections are here!


Well friends, we've seen fantastic growth over the past year. Our chapter resumed meetings, gained new members, and saw rejuvenated energy and momentum. We're so happy to continue building the NC art therapy community with you.

Now it's time to elect your 2017-2019 NCATA Chapter Officers!

The election ballot (below) is available through September 30, 2017.  Please submit your votes, and spread the word among your NCATA peers!

CHAPTER OFFICER POSITION DESCRIPTIONS:

PRESIDENT

  1. Conducting a meeting is one of the most effective means of displaying your role as a leader. Prepare and review the agenda in advance.
  2. You are an Ex Officio member of all committees. You have the same right as other committee members, but you are not obligated to attend committee meetings nor are you counted upon in determining if a quorum is present. Try to show your support through communication and attendance at the various meetings.
  3. Learn to delegate responsibilities. As President, you conduct the meeting and maintain the organization’s format. However, listen to the voice of the membership – it is their organization.
  4. Direct, assist, support, recognize, trust and enjoy your Chapter leadership role.
  5. Hold regular Board Meetings to:
    1. Establish Chapter goals and objectives for the year. Do this at the first meeting. 
    2. Review committee assignments and progress. 
    3. Formulate policies by which the Chapter will function. 
    4. Prepare an agenda for the Business Meeting. 
  6. Board Meeting scheduling:
    1. Plan Board Meetings so that officers can attend. 
    2. Appoint committee chairs prior to the first Board Meeting so they may attend. 
    3. Establish Board Meeting times and notify all members. At the time of notification, ask for suggestions for agenda items. 
    4. Prepare and agenda for the meeting and give a copy to the Secretary for advanced distribution. 
    5. Conduct the meeting in a structured manner in order to cover the agenda items within a reasonable period of time. 

PRESIDENT-ELECT

  1. Be familiar with the Presidential duties as well and the organization’s structure.
  2. Be familiar with the bylaws of the Chapter and the national organization.
  3. Be familiar with the various committees. Attend committee meetings on a rotation basis with the President.
  4. Serving as the Program Chair is a good way of becoming familiar with the various aspects of the Chapter, i.e., membership, finances, committees, and programs.
  5. Maintain communication with the President.
  6. Perform Presidential duties in the absence of the President.
Note: It is suggested that the President-Elect have past experience as a committee chair or as a member of the Chapter Board of Directors.

SECRETARY

  1. Be responsible for all official Chapter correspondence as directed by the President. Make sure that the President receives a copy of all official correspondence received and distributed.
  2. Accurately record, transcribe and distribute to all Board Members, within 30 days, the minutes of all official meetings of the Board of the Chapter.
  3. Maintain an accurate, up-to-date file of officers and all official correspondence and minutes.
  4. Be familiar with the Chapter Bylaws and Robert’s Rules of Order. 

TREASURER

  1. Supervise and maintain all funds and securities of the Chapter.
  2. Maintain all books according to the policies and procedures of the National Association.
  3. Review the Chapter finances annually with one officer.
  4. Obtain and provide all receipts for financial transactions.
  5. Be familiar with the bookkeeping procedures of the National Association, including filing of quarterly reports with the Finance Committee.
  6. Prepare a financial statement for each business meeting.
  7. Prepare financial summaries at the beginning and end of the year.
  8. Maintain and update roster of the membership.
  9. Provide the National Office with an annual financial statement as directed by the Finance Committee.
  10. Maintain a file of all bookkeeping procedures and related national correspondence.
  11. If a Chapter is tax exempt under the National Association’s group exemption letter, the Treasurer will prepare and submit quarterly financial reports to the National Association. See section on Tax Exempt Status. 

DELEGATE TO THE ASSEMBLY OF CHAPTERS

  1. Gather information and concerns of the Chapter and communicate them to the Speaker and Speaker-Elect.
  2. Represent the Chapter at the Annual Assembly of Chapters Meeting.
  3. Revise and keep current Chapter Procedural Manual as information is obtained.
  4. Participate in Chapter Committees as needed to ensure Chapter’s representation in a national level.
  5. Is encouraged to serve as their Chapter’s Governmental Affairs Chairperson and work with the Association’s GAC on state and national legislative efforts.
